Online bookings with WordPress: which plugin to choose

Online bookings on WordPress are managed using a plugin chosen based on the services, timings and payment options. Choosing the right one allows customers to book and reduces the amount of manual work involved in running your business.

The calendar must be customisable and tailored to your operating rules: staff availability, appointment durations, capacity and cancellations. Start by considering these requirements, then compare features and costs.

Key points

  • Plugins for bookings, rooms and courses cater to different needs.
  • The free versions are mainly designed for simple set-ups; payments and automations often require a licence.
  • The budget covers set-up, maintenance, fees and support, as well as the software.

Useful features for professionals

Availability, staff and resources

A professional diary must be able to manage services of varying durations, breaks, holidays and gaps between appointments. If there are several staff members, each must have their own availability.

The availability of shared resources is also important. Two self-employed professionals are not enough if they have to use the same room. Telephone bookings and manual entries must occupy the same slots as those shown on the website.

Confirmations, payments and cancellations

The customer must be informed straight away whether the appointment has been confirmed or is pending approval. Notifications must state the service, date, venue and how to make changes.

If you ask for a deposit, make sure you also set out the cancellation and refund policy. Stripe and PayPal are often premium features: linking to the payment gateway does not waive transaction fees.

Appointment booking plugins: Bookly, Amelia and Vik

1. Bookly: for services and staff

Bookly is free and available on WordPress.org; it allows you to manage five staff members and one member of staff. It provides a practical basis for booking individual appointments, particularly for those who work on their own.

The plan Bookly Pro for a website Prices start from $39 a year or $99 for a lifetime licence. It includes unlimited services and staff.

The Business plan starts at $69 a year, with licences for between one and five sites. The Ultimate plan starts at $159 a year, with options for between one and one hundred sites. The figure of $199 quoted in the SOS-WP guide differs from the official offers listed here.

For Google Calendar, please note that the integration available within the Pro ecosystem is distinct from the advanced two-way synchronisation provided by the extensions included in the package.

2. Amelia: for events and organised activities

Amelia has a free Lite version available in the WordPress repository, as well as premium plans for more complex requirements.

This is a solution worth considering for practices, beauty salons and businesses offering a range of services. SMS and Google Calendar are features included in paid plans; they are not automatically available in the free version. Sending SMS messages also requires a dedicated credit balance.

3. Vik Appointments: for managing services and staff

Vik Appointments can be installed free of charge from the repository. The paid version must be purchased separately with a licence.

It allows you to organise services, availability and staff. The ICS connection is one-way: exporting appointments to an external calendar does not mean that all appointments will be automatically imported. This difference is important when you use multiple calendars.

Plugins for bedrooms, living rooms and availability

4. WP Booking System: for daily availability

WP Booking System is designed to display available dates and take bookings for venues or facilities. WP Booking Calendar is a separate product: before making your choice, compare the features and terms of the two tools.

The basic plan costs $79 a year for one website. Online payments require a higher tier than the basic plan. The WP Booking System’s commercial policy It allows you to request a refund within 14 days of purchase. This is a post-purchase guarantee, not a free trial without a purchase.

5. HBook: for hotels, B&Bs and campsites

HBook is a paid plugin, with a starting price of 79 dollars, designed for accommodation providers. It has been fully translated into Italian.

This approach focuses on stays, accommodation and rates, so it is more relevant than a booking calendar. If you also sell through online booking platforms, you’ll still need to coordinate availability across external channels.

6. Pinpoint: for flexible availability

Pinpoint starts at 60 euros a year per website and can link bookings to Google Calendar, iCalendar and Airbnb.

This is an option for bookings organised by day or time slot. Synchronisation via calendars does not automatically replace a channel manager: update times and rate management are separate matters.

Course timetables and bookings with WooCommerce

7. Responsive Timetable: for publishing timetables

Timetable Responsive Schedule costs $49 and allows you to export calendars as PDFs. It is useful for displaying lessons, courses and recurring activities.

However, a timetable does not necessarily manage available places, bookings and cancellations. To sell bookings, you also need a suitable booking system.

8. WooCommerce Bookings: for selling bookable services

WooCommerce Bookings is the official paid extension for selling services and bookings by the day or by the hour within WooCommerce. The licence for one website costs approximately $249 per year.

It’s a logical choice if you already have an online shop. Orders and customers remain within the website’s sales process; the WooCommerce payment methods complete the management of takings.

Which plugin should you choose for your business?

When choosing an online booking system, I’d start by considering the type of bookings you handle on a daily basis.

ActivitiesOptions to considerA crucial requirement
Consultant or firmBookly, Amelia, Vik AppointmentsDuration, organisers and programme
B&B or small hotelHBook, WP Booking SystemAccommodation, rates and availability

A restaurant also needs to take into account place settings, tables, shifts and the length of stay. An appointment assigned to a member of staff does not automatically reflect this organisation.

The choice should therefore prioritise a booking calendar that reflects the operational rules regarding tables, capacity or availability. For hotels and B&Bs with multiple sales channels, PMS systems and channel managers become important.

How to set up bookings on WordPress

Set up services, staff and availability

First, create the services: give them a clear name, set a price, specify the duration and the required interval between appointments. Then assign staff, locations and resources.

Set weekly working hours, breaks, holidays and minimum notice periods. You can also specify how far in advance a customer can book.

Insert the form into the page using the block or shortcode provided by the plugin. The button should clearly explain the action: “Book a consultation” is clearer than “Contact us”.

Turn on notifications and try out the route

You can set reminders 24 hours and two hours in advance, with a follow-up message one hour later. These reminders are examples: the automation available depends on the plan you’ve chosen and the service.

For video consultations, Bookly can integrate with Zoom using the relevant components. The Zoom Basic free plan It allows for up to 100 participants, with a time limit of 40 minutes per meeting.

Complete a booking via a mobile device. Test the payment, confirmation, cancellation and slot allocation processes. Also check that emails have been delivered: the message displayed in the dashboard does not guarantee that it has reached the customer.

How much does a complete system cost?

The licence is part of the budget. For a WordPress plugin designed for bookings, a rough guide is 700–1,500 euros. A project involving WooCommerce bookings and payments can cost between 1,500 and 3,500 euros.

In the guide to the cost of online bookings I categorise the solutions according to their operational complexity.

An annual subscription involves renewals. A lifetime licence eliminates that recurring charge, but keeps hosting, maintenance, SMS and gateway fees separate.

The quote must specify the configuration, customisation, testing, training and support. You must also retain control over accounts and access rights. If you change provider, the calendar must continue to function.

A free licence may be enough to get started. The cost of the full project depends on the management of operators, payments and integrations.

Privacy, support and measurable results

Collect only the data you need

Your name, contact details and the service you’re using may be all that’s needed for many appointments. Avoid empty fields that prompt you to enter health information or other sensitive data.

We need a privacy policy, restricted access and appropriate retention periods. Institutional guidelines on the protection of personal data These are the Data Protection Authority’s guidelines. A plugin does not automatically ensure that the entire website complies.

Organise support and monitoring

For online WordPress support, you can use the free plugin’s forum, premium support or a developer. A translated interface and support in Italian are two different services.

Track completed bookings, cancellations and form abandonment. Compare desktop and smartphone usage separately. A high number of visits with few bookings suggests a sales issue or an area for improvement.
